The other day, I came across some common sense advice on office organization. Barry Izsak, president of the National Association of Professional Organizers and owner of Arranging It All, listed his advice on organizing your office for peak efficiency…
Barry Izsak’s Office Organization Rules
- Choose a layout that suits your work style. A parallel workspace has a desk with a credenza behind it. An L-shaped workspace has a desk with a wing for a computer. A U-shaped workspace has a desk in the center, with two wings, one for the computer and the second used as a conference space.
- Don’t place your computer on top of your main desk, it gets in the way of any work you are not doing on the computer.
- Keep the office supplies in your desk to a minimum. Keep a few pens, pencils, sticky notes and paper clips in your desk drawer. Store the others in another place that you use for storage.
- Create a two part filing system. One for active files, bills to pay, pending new business etc., and one for reference material that you will need later. Keep the active files close at hand for easy access.
- Go paperless. Try to store everything on your computer.
- Manage periodicals. Save periodicals in holders you can buy at any office supply store. When a holder gets full, toss the oldest issue, and replace with the newest one.
- Adopt clean habits. Clear your desk after each workday. Sort and toss unnecessary papers at the end of each week.
Mr. Izsak says “being organized isn’t an option; it’s a necessity”. And that’s some good, common sense advice.
